1. Ticketing

Each exhibitor stand contains the number of tickets corresponding to the data (stand size) entered in the application form.

2. Stand Allocation

Stand allocation is carried out by the organizer. The placement of the stands is determined according to industry and organizational requirements.
There is no entitlement to a specific stand position. (Exceptions are possible if contractually agreed.)

3. Mode of Payment

• The stand rental fee and all other agreed costs will be invoiced after approval of the registration.
• The amount must be transferred to the organizer's account (as specified on the invoice) within 14 days.
• The invoice will include German VAT (in accordance with § 3a para. 3 no. 5 UStG).

4. Liability & Insurance

• The exhibitor is liable for all damage and soiling to the exhibition areas, floors, or other facilities caused by themselves, their employees, or authorized third parties.
• The organizer assumes no duty of care for exhibition goods and stand equipment and excludes any liability for theft or damage.
• A hall night watch will be provided by the organizer, but without assumption of liability for exhibited goods.
• It is recommended that exhibitors take out their own exhibitor liability insurance.

5. Disposal & Stand Return

• Every exhibitor is obliged to leave the stand clean.
• Any waste must be disposed of at the exhibitor's own responsibility.
• In the event of non-compliance, any additional cleaning and disposal costs will be charged to the exhibitor.

6. Set-up & Dismantling

• Set-up:
  • Day before the event: 12:00 – 20:00
  • Event day: 07:15 – 08:30
    (Exceptions possible if contractually agreed.)
• All stands must be fully set up by 08:30.
• Dismantling:
  • May not begin before the end of the event at 17:00.
  • Must be completed by 18:00.
  • General dismantling will take place on September 12, 2025, from 08:30 – 16:00.

7. Technical Requirements & Safety

• Electrical installations and other extensive technical requirements must be discussed and approved in advance with the organizer.
• All materials used must comply with fire protection regulations.
• Open flames, pyrotechnics, or hazardous materials are strictly prohibited.

8. Withdrawal from the Exhibition Contract

Registration as an exhibitor is binding. In case of withdrawal, the following cancellation fees apply:

Up to 10 weeks before the event (until 03.07.2025): Free of charge
Up to 6 weeks before the event (until 07.08.2025): 50% of the agreed costs
From 6 weeks before the event (from 08.08.2025): 100% of the agreed costs

Cancellations after 08.08.2025 will be charged the full stand rental fee.

9. Agreement & Confirmation

By registering as an exhibitor via the HubSpot form, the company agrees to these Terms & Conditions.

10. Important Notes

• Registration is via the official HubSpot form.
• Participation is only guaranteed after confirmation by the organizer.
• No stand reservation can be guaranteed without timely registration.

1. Ticketing

Jeder Ausstellerstand enthält die Anzahl der Tickets, die der im Anmeldeformular angegebenen Standgröße entsprechen.

2. Standzuteilung

Die Zuteilung der Stände erfolgt durch den Veranstalter. Die Platzierung wird entsprechend der Branchenzugehörigkeit und organisatorischen Anforderungen vorgenommen.
Es besteht kein Anspruch auf eine bestimmte Standposition. (Ausnahmen sind möglich, sofern vertraglich vereinbart.)

3. Zahlungsweise

Die Standmiete sowie alle weiteren vereinbarten Kosten werden nach Bestätigung der Anmeldung in Rechnung gestellt.
Der Rechnungsbetrag ist innerhalb von 14 Tagen auf das in der Rechnung angegebene Konto des Veranstalters zu überweisen.
Die Rechnung enthält die gesetzliche deutsche Mehrwertsteuer (§ 3a Abs. 3 Nr. 5 UStG).

4. Haftung & Versicherung

Der Aussteller haftet für sämtliche Schäden und Verunreinigungen der Ausstellungsflächen, Böden oder anderer Einrichtungen, die durch ihn, seine Mitarbeiter oder beauftragte Dritte verursacht werden.
Der Veranstalter übernimmt keine Haftung für ausgestellte Waren und Standausrüstung sowie für Diebstahl oder Schäden.
Es wird eine Hallennachtwache gestellt, jedoch ohne Haftungsübernahme für ausgestellte Gegenstände.
Es wird empfohlen, eine eigene Ausstellerhaftpflichtversicherung abzuschließen.

5. Entsorgung & Standrückgabe

Jeder Aussteller ist verpflichtet, seinen Stand sauber zu hinterlassen.
Abfälle müssen eigenverantwortlich entsorgt werden.
Bei Nichteinhaltung werden zusätzliche Reinigungs- und Entsorgungskosten dem Aussteller in Rechnung gestellt.

6. Aufbau & Abbau

Aufbau:

• Tag vor der Veranstaltung: 12:00 – 20:00
• Veranstaltungstag: 07:15 – 08:30
  (Ausnahmen sind möglich, sofern vertraglich vereinbart.)
  Alle Stände müssen bis spätestens 08:30 vollständig aufgebaut sein.

Abbau:

• Beginn: Nicht vor Ende der Veranstaltung um 17:00
• Fertigstellung: Bis spätestens 18:00
• Allgemeiner Abbau: 12. September 2025, von 08:30 – 16:00

7. Technische Anforderungen & Sicherheit

Elektrische Installationen und andere umfangreiche technische Anforderungen müssen im Voraus mit dem Veranstalter abgesprochen und genehmigt werden.
Alle verwendeten Materialien müssen den Brandschutzbestimmungen entsprechen.
Offene Flammen, Pyrotechnik oder gefährliche Stoffe sind strengstens verboten.

8. Rücktritt vom Ausstellungsvertrag

Die Anmeldung als Aussteller ist verbindlich. Im Falle eines Rücktritts gelten folgende Stornierungsgebühren:

• Bis 10 Wochen vor der Veranstaltung (bis 03.07.2025): Kostenfrei
• Bis 6 Wochen vor der Veranstaltung (bis 07.08.2025): 50 % der vereinbarten Kosten
• Ab 6 Wochen vor der Veranstaltung (ab 08.08.2025): 100 % der vereinbarten Kosten

Stornierungen nach dem 08.08.2025 werden mit der vollständigen Standmiete berechnet.

9. Zustimmung & Bestätigung

Mit der Anmeldung als Aussteller über das HubSpot-Formular erklärt sich das Unternehmen mit diesen Geschäftsbedingungen einverstanden.

10. Wichtige Hinweise

• Die Anmeldung erfolgt über das offizielle HubSpot-Formular.
• Die Teilnahme ist erst nach Bestätigung durch den Veranstalter gesichert.
• Ohne rechtzeitige Anmeldung kann keine Standreservierung garantiert werden.
